Policy Statement:
The XYZ Community School District utilizes library records obtained from the Library of Congress, Access PA, and Alliance Plus (via Follett), which are viewed as appropriate MARC records for the inclusion of the electronic online card catalog. Additionally, records downloaded from vendors when new purchases are made will be utilized. Barcode lists are provided to individual vendors in order to organize and track purchases. Records will be modified in order to reflect this school’s bar code labeling system as well as the location where such materials are found. Processing will be completed in a timely fashion.
Step-by-step Procedures:
Note: Typically there will be materials at different stages of processing. This list of procedures will begin with the arrival of the books. I. Check the materials received against the invoice A. Mark all received materials B. Note any books not in the order or incorrect titles to notify vendor
A. Copy cataloguing records must be imported B. Outsourced cataloguing records may be downloaded or uploaded from cd, etc. C. Records loaded to the OPAC can be labeled as “In Process” to benefit patrons III. Edit MARC records
A. Check title, ISBN, author, series title, and physical description against item B. Add holdings and local information a. Call number b. Price c. Acquisition date d. Barcode Make Bar Code i. Outsourced processing will provide specified barcodes within a specific range ii. Barcodes can also be ordered for specific number ranges and applied in-house
a. Check/change subject headings b. Add notes c. Add genre notes IV. Physical processing of materials A. Outsourced - check for accuracy a. Call number b. Barcode c. Reading program B. In-house a. Type and print call number labels and/or reading program labels b. Apply call number, barcode, and/or reading program labels c. Cover book d. Insert electromagnetic security strips e. Insert pocket and/or card as needed f. Stamp book with school name V. Scan the barcode A. Check to make sure the correct record was retrieved B. Change item location from “In Process” to correct area VI. Promote new materials A. Notify staff and students of books arrival as needed
